    Voice mail instructions for first time users

    The Digitcom voice mail system is unique in today's consumer market. Simply,  Digitcom offers features that are available no where else. Some things that come standard with your voice mail box (that you might usually pay extra for elsewhere) are 3 minute greetings and  3 minute incoming messages. As an addition, there is an announcement that greets you by name every time you access your voice mail box. By following the steps below you will ensure that you voice mail box is operational and fully customized to your needs.

    Step 1: Calling your voice mail
    Example: 1 800 555 1212

    Call your voice mail number. Many times problems in your local area may cause problems with your voice mail box. Some of these problems are outlined under "Known problems and solutions to Digitcom toll-free numbers" on the main support page. After calling Digitcom and setting up your voice mail box, it usually takes anywhere from 30 to 60 minutes to have your number activated. To dial your toll-free voice mail number, pick up your phone, dial "1" then "800, 888, or 877" depending on the toll-free number you purchased, then the remaining seven digits. If you have a toll-free extension, dial 1 888 365 0000 or 1 800 600 0343, then your four digit extension number. Toll-free extension customers are free to use either the 800 or 888 number  - your extension accounts are set up on both numbers.

    Step 2: Getting inside your voice mail box
    Press the [*] key and enter your [security code]

    Now you will need to access your voice mail box. By entering your voice mail box you will be able to access some important features with your voice mail number. The two main things we will focus on in this section are: recording an outgoing greeting that callers will hear when dialing your number and changing your security code. But first, to access your box you need to dial your voice mail number and when you here the computerized woman's voice, press the * key on your keypad. At this point the system will ask you for your security code. Your four digit security code was given to you when you first signed up your account.

    Example: Dial 1 800 555 1212, wait for the computer to pick up, press the * key, then the security code of 1212

    Step 3: Recording a greeting for your callers
    Press [3], [3], and [3] a third time to start recording. Press [1] when finished

    After you have entered you voice mail box (step 2) you might want to record an outgoing greeting. To do this, press button "3" on your keypad to go to your voice mail box maintenance menu. In this menu you will be able to change your security code using button "1" record an announcement for yourself using button "2" and record an outgoing greeting using button "3". For now, you are going to concentrate on just recording your greeting, so press button "3". Next you will prompted to record a greeting by pressing button "3". At this point you will begin recording. When you are done recording, press "1" then "1" again to accept your recording. After you are done you will be placed back into the maintenance box where you will proceed to step 4.

    Step 4: Changing your security code
    Dial your toll-free number. Enter [*] then your security code. Press [3], [1] then your new 4 digit security code.

    The quickest way someone else other than yourself can get into your voice mail box is to guess at your security codes. Before giving your number out to anyone it is imperative you change the security code that was initially given to you by Digitcom. Upon completing step 3 you should be in the maintenance menu. If you have already hung up the phone, dial your toll-free number, enter *, your security code and then press button "3". From here press button "1" to change your security code. Your voice mail will prompt you for a new security code and you may enter one that is up to 12 digits in length (though most people only make it 4 digits long).

    Example: (current security code given by Digitcom is 1212)
    Call 800 555 1212, press *, 1212. Then press "3" to go to the maintenance menu, press "1" to change the security code, then enter the new security code of  "1998"



    Basic Functions of your voice mail box and how to use them

    The toll-saver feature
    If you hear a ring before your greeting starts playing that means you have no new messages. If you don't hear one, it means that you do.

    This feature is standard with every Digitcom voice mail box and the simplest to use. When you call your number, if you hear a ring before your greeting begins to play it means that you do not have any new messages. If there is no ring and your greeting begins to play right away it means that you have new messages waiting.

    Listening to your new messages
    Press [1] to listen to new messages. [#] Fast forwards, [*] Rewinds, [0] Pauses Playback, [3] to Erase, [5] to Save.

    When you first enter your voice mail box it will tell you if you have any new messages. If you don't have any, it will tell you how many saved messages you have. While listening to your new or saved messages (by pressing "1" for new messages or "4" for saved messages) you have several unique functions available to you. Since Digitcom offers three minutes of recording time for messages, some of the ones you may be listening to may end up rather long. While you are playing back the message you may press any of the keys listed below to use their functions:

    #    fast forward (at increments of 5 seconds)
    *    rewind (at increments of 5 seconds)
    0    pause playback of message
    3    erase message
    4    time & date of message
    5    save message
    7    review message
    9    exit

    Note: If you accidentally erase one or more of your messages Digitcom can get them back! However, you must report them right away since Digitcom can only restore messages on the same day they are erased.

    Listening to your saved messages
    Press [4] to hear saved messages.

    When you listen to your new messages, you must either erase or save each message to move to the next one. You may press "4" to listen to your saved messages and the functions  listed above are available  (such as # to forwards, * to rewind, etc..)


    Advanced Voice Mail Features:

    Fax to E-mail (coming soon)
    In the coming weeks Digitcom will offer a new service which involves sending faxes to your e-mail address. Though not yet available to the public, this new service will give you a fax number and when faxes arrive at this number, they will be sent to your e-mail as attached TIFF files. We will be advertising this service in the coming weeks.

    Call counter
    This will say how many calls your number has received. Dial the number, press [*] then the security code

    The call counter feature keeps track of every call made to your voice mail box whether the caller left a message or not. This function is particularly useful for those of you who advertise your toll-free numbers, since it is a way to measure the effectiveness of your advertising. This feature appears as soon as you enter your voice mail box. After entering your security code, the voice mail system will tell you how many calls you have received since last re-setting the counter. In order to reset your counter, you may press "1" and to go on without re-setting it press "9".

    Sub boxes
    Dial the Number, press the sub box you wish to check messages on, then press [*] and the security code.
    Example: 1 800 555 1212, 1, *, 1212

    Many people use their voice mail numbers for many different things. At some time you may consider multiple boxes in addition to your existing toll-free number. These sub boxes we have are quite familiar to everyone; here is an example of how they work:

    Example: The caller is greeted by "Hello and welcome to Jack & Jill Marketing. To leave a message for Jack, press 1. To leave a message for Jill. press 2." At this point the caller has the option to press button 1 to go to a mailbox for Jack and button 2 to go to Jill's mailbox.

    Accessing sub boxes are simple. First, you need to dial the toll-free number. Second, press the number of the box that you're trying to check the message on. So, to check Jack's box you would have to dial the toll-free number and press 1. Last, you need to enter * and then the security code.

    Multi-line toll-free numbers
    Currently, your basic toll-free number is only able to answer one call at a time. If a there is a second caller trying to get to your toll-free number while there is another person on the line, they will get a busy signal. For an additional cost, Digitcom is able to provide two or more simultaneous to be answered at a time. Once again, this price is flat rate as is the rest of our toll-free service.

    Extension Boxes
    Along with offering direct toll-free number (800, 888 and 877) Digitcom also offers an extension service. How to dial an extension for this service is outlined in step 1 of  "Voice mail instructions for first time users." However, this service is also available for customers who would like to sign up a multitude of accounts. Extensions are the most professional solution to most businesses as they are easy to use and an excellent form of communication.

    The Voice carousel
    This feature is particularly popular among a group of people who advertise one number together. Using this feature you can split the leads accurately among your investment partners. Voice mail enabled with this feature literally rotates the calls received by your toll-free number among several voice mail boxes (you choose how many) that all have the same greeting. Using this feature, the callers never know that the calls are being distributed among several people. For the advertisers, using this feature is the same as using an extension box.

    Internal Messaging
    In a business environment two way communication is important in getting the job done. Internal messaging is the ideal solution. Incoming voice mail messages can be passed on to other users. From inside your voice mail box you can create new voice messages and send it to other user's mailboxes. In turn, they can  respond to those messages back to your voice mailbox. To the user, all of these functions are simple and menu driven.

    Pager notification with numeric retrieval
    Paging options are also available to enhance voice mail. With a pager attached, the caller may punch in numbers during your outgoing greeting and the page will sent to your beeper. Pager notification also includes pages when a caller leaves a voice mail message, reminder pages when you don't check your voice mail number and numeric retrieval. The last feature, numeric retrieval, is something rare in the voice mail industry. With it, if someone punches in a number to page you the numbers are read to you in your voice mail. This function is particularly useful for the times when your pager fails or it is not with you.

    In summary, our services are versatile, practical and affordable. Though our customers are satisfied with the current Digitcom voice mail systems and the features they offer, we are never satisfied.
